Site Selection for Future Meetings

As soon as a Section or Region begins to consider sites for a future meeting, a Site Search Request Form should be completed and sent to the AAA (Form 9). The form should provide both preferred dates and secondary dates. Searches will be conducted for up to three different cities. Specifics as to program design should be provided on the form so adequate meeting space can be secured for the meeting. The outsourced Meeting Planner (Dee Strahan) will confer with the program chair and initiate a site search, relaying information, recommendations, and assisting the Executive Director in negotiating the best rate and services package at the desired location. Completion of the search varies depending on response time of hotels and meeting staff commitment to current association meetings. While the staff attempts to complete site searches within 30 days, this is not always possible due to immediate meeting commitments. All Association contracts (including those of Sections, Regions, or Groups) must be signed by the AAA Executive Director:
