Other Materials

a. Brochures (design, layout, proof, print, and mail)
AAA staff need to receive complete contents (electronically) at least 4 weeks before the desired mail date. (Staff should be consulted regarding the project several months earlier to assist in workload planning.) Information provided should include any format or color preferences, who will receive the brochure, and any additional printed copies desired. Please contact Assistant Director for Publications Diane Hazard.

b. Directory (design, layout, proof, and print)
AAA staff need to receive complete contents from each Section and Region to be included in the Directory. (Form 16 and Form 17 are provided as samples and may be used as an aid in gathering the information.) The chair-elect or president-elect should supply this information by May 1 to:

c. Letterhead (design, layout, proof, and print)
Production time varies. Please contact Assistant Director for Publications Diane Hazard to discuss the estimated production time for your particular project.

d. Postcards (design, layout, proof, and print)
AAA staff need to receive complete postcard information at least two weeks prior to desired mail date. Information provided should include preferred size, format, paper color, and who will receive the postcard. Please contact Assistant Director for Publications Diane Hazard.

e. Mass Emails (to Section or Region members)
Section and Regions Presidents/Chairs or other designated officers may authorize mass emails to those members of their Section or Region who have not opted out of receipt of mass emails. Generally such messages should be brief (one or two sentences) and include an embedded URL to another part of the AAA web site where a longer version of the announcement or form, etc., will have been posted by AAA staff. Such emails show the Section or Region officer as the “Reply-to” contact point so members may automatically reply directly to them.

Emails to all AAA members or any grouping other than a Section’s or Region’s members will be strictly limited as to length (with embedded URLs offered to link to longer materials), will cover multiple topics, will be subject to approval based on relevance of topic, and will show headquarters in the “Reply-to” field.

To request a mass email, send the text of the proposed email to Associate Director for Communications Beverly Harrelson at least one week in advance of desired mail date. If you require assistance in the preparation of these materials, staff will be happy to help. There is no charge to Sections or Regions for issuing mass emails.

f. Postage/Delivery Time
When planning the mailing date for any materials, please keep in mind that standard (bulk) rate mail can take 1 to 3 weeks for domestic delivery, depending on time of year. International mail, when sent as “printed matter,” can take from 7 days to 3 weeks for delivery. If you need assistance in planning for mailing, including current postage rates, contact:
