Email Signature Instructions

Follow the instructions below for different email clients to add an image to your email signature.

Outlook

Adding a Linked Picture to Your Outlook Signature
  1. Open Outlook: Launch your Outlook application.
  2. Access Signature Settings:
    • Go to the File menu.
    • Select Options.
    • In the Outlook Options window, click on Mail.
    • Click on Signatures.
  3. Create or Edit a Signature:
    • In the Signatures and Stationery window, you can either create a new signature by clicking New or select an existing one to edit.
  4. Insert a Picture:
    • In the signature editor, click on the Image icon (it looks like a picture).
    • Select the email signature image downloaded from our Event Shareables Page, and click Insert.
  5. Link the Image:
    • To make the image clickable, highlight the inserted image.
    • Click on the Insert Hyperlink icon (or right-click the image and select Link).
    • In the hyperlink dialog, enter the URL to the meeting homepage, and click OK.
  6. Format Your Signature (optional):
    • You can adjust the formatting of your signature using the tools available in the editor, such as changing font styles or adding text.
  7. Save Changes:
    • Click OK in the Signatures and Stationery window to save your changes.
    • Click OK again in the Outlook Options window.
  8. Test Your Signature:
    • Create a new email to ensure your signature appears correctly and that the image links to the desired URL.
Now your Outlook signature should include the email signature image that is linked to the meeting homepage!

Outlook Desktop

Adding a Linked Picture to Your Outlook Desktop Signature
  1. Open Outlook: Launch your Outlook Desktop application.
  2. Access Signature Settings:
    • Click on the File tab.
    • Select Options at the bottom of the left-hand menu.
    • In the Outlook Options window, click on Mail.
    • Click the Signatures button.
  3. Create or Edit a Signature:
    • In the Signatures and Stationery window, select an existing signature to edit, or click New to create a new one.
  4. Insert a Picture:
    • In the signature editor, position the cursor where you'd like to insert the image.
    • Click the Picture icon (it looks like a picture).
    • Navigate to and select the email signature image downloaded from our Event Shareables Page, then click Insert.
  5. Link the Image:
    • Click on the inserted image to select it.
    • Click the Hyperlink icon or right-click the image and select Hyperlink.
    • In the hyperlink dialog, paste the URL of the meeting homepage in the Address field and click OK.
  6. Format Your Signature (optional):
    • You can format your signature, such as adjusting text styles, fonts, or adding additional information like your name and contact details.
  7. Save Changes:
    • Click OK to save the changes in the Signatures and Stationery window.
    • Click OK again to close the Outlook Options window.
  8. Test Your Signature:
    • Compose a new email to ensure the signature appears correctly, and test that the image links to the correct meeting homepage.
Now your Outlook Desktop signature should include the email signature image linked to the meeting homepage!

Gmail

Adding a Linked Picture to Your Gmail Signature
  1. Open Gmail: Sign in to your Gmail account.
  2. Access Settings:
    • Click on the gear icon (⚙️) in the upper right corner to open the Settings menu.
    • Select See all settings.
  3. Go to the Signature Section:
    • In the Settings menu, click on the General tab.
    • Scroll down to the Signature section.
  4. Create or Edit a Signature:
    • Click on Create new to make a new signature or select an existing one to edit.
  5. Insert an Image:
    • In the signature editor, click on the Insert Image icon (it looks like a picture).
    • Upload the email signature image downloaded from our Event Shareables Page.
  6. Link the Image:
    • Once the image is inserted, click on it to select it.
    • Click on the Link icon (it looks like a chain link).
    • In the dialog box, enter the URL to the meeting homepage, and click OK.
  7. Format Your Signature (optional):
    • You can add text or format your signature as needed using the tools available in the editor.
  8. Save Changes:
    • Scroll to the bottom of the settings page and click on Save Changes.
  9. Test Your Signature:
    • Compose a new email to ensure your signature appears correctly and that the image links to the intended webpage.
Your Gmail signature should now include the email signature image that is linked to the meeting homepage!
